Function

The Associate Director for Patron Technology and DBA (Associate Director) is responsible for supervising the daily input, output, and overall health and wellbeing of The Phoenix Theatre Company’s customer relationship management database, Tessitura. This position is a key contributor and collaborator in the overall marketing, sales, and development campaigns for The Phoenix Theatre Company with optimal and ever-improving use of Tessitura being the central focus. This position works with all resource departments at the theatre in overseeing the implementation of organizational campaigns as well as providing new employees with Tessitura log-in information and a walkthrough of the database. The Associate Director is central to The Phoenix Theatre Company’s long-term success in attracting new buyers and donors to the institution, retaining their participation over the long term, and increasing their level of commitment to the institution over their lifetime. This position also trains selected users in all revenue departments to run reports and pull data from Tessitura while also providing support for larger data projects and data projects initiated by the Director of Marketing or Managing Director. Ability to pull and manipulate large volumes of data using SQL and other tools is an essential skill. Additionally, the Associate Director implements and manages all patron related technology for the organization.

Organizational Relationships

  • Reports to the Director of Marketing and Communications
  • Works closely with the Managing Director, Director of Development, Director of Patron Advancement, Associate Director of Patron Experience, Director of Summer Camp, Marketing Managers, Associates + Coordinators, Director of Foundations + Government Relations, Patron Concierge Managers, Patron Services Associates, and Third Party Renters.

Essential Duties & Responsibilities

  • Manages the Tessitura Software System
  • Develops, creates, and leads Tessitura training for all staff including the creation of training tools and materials for employee orientation.
  • Sets and enforces the qualifying standards for how data is to be entered by all departments
  • Pulls reports for all department heads/clients and/or trains departments in data self-service
  • Manages internal and external performance builds for The Phoenix Theatre Company and Third Party Renters.
  • Manages and executes package builds for The Phoenix Theatre Company
  • Identifies ways to enhance and/or refine our use of Tessitura maximizing the power of the software system in how it is utilized and can be utilized by all staff
  • Manipulates large volumes of both internal and external data
  • Creates the weekly Sales Tracker reporting with breakdown of ticket sales and fundraising
  • Multi-tasks and stays mindful of company and brand objectives while addressing daily issues
  • Monitors performance and identifies areas where new or improved plans can improve the quality of existing services as well as recommends means for improvement, including procedural steps, or recommended action plan for increased training and enhanced performance
  • Attends all necessary Phoenix Theatre Company meetings and events or conference calls.
  • May be asked to travel in the event that attendance at a seminar or conference would be appropriate and beneficial to the growth of the position.
  • Maintains the ticketing and contribution portion of the website with TNEW
  • Manages the interface of Tessitura with N-SCAN devices and ticket printers with assistance from Director of Patron Experience
  • Manages access and privileges of all Tessitura users
  • Oversees and implements upgrades for all Tessitura software
  • Manages large data projects using SQL and other tools
  • Manages all of TPTC’s patron related technology such as Prospect2, Donate2, TRG Community Database, Google Analytics, Front of House integration with Tessitura, Tessitura Merchant Services, Tessitura Access Control, Tessitura TNEW, and other adopted technology.

Minimum Qualifications

  • Bachelor’s Degree and 5 years equivalent work experience
  • Extensive knowledge of theatre, arts, and non-profit organizations
  • Large scale data manipulation, including SQL
  • Ability to meet deadlines
  • Computer skills, including expert knowledge of Microsoft Excel and a willingness to quickly learn new related programs and skills
  • Expert knowledge of Tessitura
  • Organizational, multi-tasking, and time management skills
  • Management Skills and Abilities
